Functieomschrijving

You are responsible for lots of supportive and administrative tasks including front desk phone coverage, administrative assistance, car fleet management, office supply management and mail delivery functions. Furthermore, we want you to stay on top of the office processes and recognize the requirements in office organization to ensure our best performance in daily business. Due to the nature of this role, your working hours are fixed and are from 08:30 am until 5:30 pm, Monday through Friday, with one-hour lunch break.




  • Represent the company at our front desk; greet visitors and notify appropriate contact,
  • Answer and appropriately route all incoming switchboard calls
  • Keep front desk, lobby, mail rooms, copy rooms, meeting rooms, show rooms, kitchen and shipping area organized, neat and presentable
  • Route incoming and outgoing mail, documents and parcels
  • Support the EMEA HQ team with meeting preparation: setup, catering and clean up
  • Manage all Travel bookings for EMEA HQ and Benelux employees as well as visitors through Egencia Portal
  • Maintain inventory and budget of office and kitchen supplies ? Liaise with vendors: cleaning company, landlord, parking owners, electrician, security, etc.
  • Coordinate the car fleet for EMEA HQ and Benelux company car drivers
  • Coordinate floor planning, desk allocation and other general facility matters
  • Manage the ICS Credit Card process and statement, and department invoices
  • Assist the Director of Finance EMEA in managing the EMEA Insurance Portfolio
  • Administrate to onboard new hires and exit of employees; including equipment, access and distribution lists
  • Own the employee purchase program for EMEA HQ and Benelux
  • Optimize and continuously improve our office processes, including setting up and maintaining an office handbook, safety plan and telephone lis
  • Promote Brooks values and culture in the EMEA HQ office by proposing, planning and organizing office events and activities
  • Perform ad hoc administrative tasks and projects as assigned

Functie-eisen


  • Mbo or hbo degree in facilities or hospitality management preferred
  • 1-3 years of comparable experience as a receptionist, an administrative assistant or a customer service assistant
  • Service orientation and a flexible mind set are a must
  • Excellent verbal and written communication skills in business English; proficiency in any other EU language is a big plus Good planning skills and an ability to set priorities without delaying daily routines
  • Attention to detail when planning, organizing and executing tasks, while still seeing the bigger picture and understanding how all of the pieces fit together and affect one another.
  • Proficiency in basic computer skills, including the use of MS Word, Excel, Outlook and PowerPoint

N.B. Je zal ook veel in het Nederlands communiceren omdat een groot gedeelte van de klanten en de inlopende mensen Nederlands zijn. Binnen het bedrijf wordt wel in het Engels gecommuniceerd omdat de meeste werknemers Engelstalig praten.
